1. Who We Are
KARTR ("we", "us", "our") is the hub for grassroots karting, connecting amateur and beginner/intermediate racing drivers with sponsorship opportunities, member discounts, coaching, community tools and a community forum. We are committed to protecting your personal data and being transparent about how we use it.

2. What Data We Collect
For Drivers/Racers:

3. How We Use Your Data
We use your data to:

Create and manage your KARTR account

Match drivers with relevant sponsorship opportunities

Facilitate communication between drivers and brands

Operate KARTR Deals, including verifying eligibility and tracking redemptions with partner brands

Operate KARTR Academy, including managing bookings, facilitating live coaching sessions, and processing coach payouts

Operate KARTR Social, including displaying community posts, enabling discussion between members, and moderating content

Share or repurpose KARTR Social content on KARTR's own external marketing channels, as set out in section 12

Process one-off donations to drivers via KARTR Donations, including issuing full refunds to donors where a payout cannot be completed

4. Legal Basis for Processing (UK/EU Users)

We process your data under the following lawful bases under UK GDPR:

Contract: Processing necessary to provide our services, including Deals, Academy, KARTR Social, KARTR Donations and KARTR Premium

Legitimate interests: Improving the platform, preventing fraud, analytics, moderating community content

Consent: Marketing communications, optional data sharing, and parental consent and supervision for users aged 13 to 17

5. Who We Share Your Data With
We do not sell your personal data. We may share it with:

Other users and the public: Driver profiles are publicly visible to any visitor to the KARTR platform, including those without an account, and may be indexed by search engines. This is core to the operation of the platform.

KARTR Social posts and comments: Content posted in KARTR Social is publicly visible to other members and, depending on platform settings, may be visible to visitors without an account and indexed by search engines. Do not post information in KARTR Social that you do not want to be publicly visible.

External marketing channels: We may share or repurpose content posted in KARTR Social on KARTR's own external marketing channels, including third-party social media platforms such as Instagram or LinkedIn, as set out in section 12.

KARTR Deals partners: If you redeem a discount or offer, the partner brand may receive confirmation of redemption to honour the deal. Partners do not receive your full KARTR profile.

KARTR Academy coaches: If you book a coaching session, the coach receives the booking details and contact information needed to deliver the session.

KARTR Donations: If you make a donation, the recipient driver will receive your name so they can identify who has supported them. They will not receive your payment or contact details. Funds are held and paid out via Stripe, and Stripe processes your payment details directly.

Email marketing providers: Such as Constant Contact, to send platform updates and communications you have opted into

Analytics providers: Such as Google Analytics, to understand platform usage

Cloud/hosting providers: Who store data on our behalf under strict data processing agreements

Legal authorities: Where required by law or to protect our rights
All third parties are contractually required to protect your data and use it only for specified purposes.
6. How Long We Keep Your Data
We retain your data for as long as your account is active. If you close your account, we will delete or anonymise your personal data within 90 days, except where we are required to retain it for legal or financial compliance reasons (typically up to 7 years for transaction records).
Content posted in KARTR Social may remain visible after your account is closed, so that ongoing discussions are not disrupted for other members, but it will be attributed to a deleted or anonymised account rather than your name.
Where content has already been shared externally under section 12 prior to account closure or deletion, we will make reasonable efforts to remove it from KARTR's own external channels on request, but cannot guarantee removal from any third party who may have further shared or saved it.
7. Your Rights
Depending on your location, you have the right to:

If you are based in the UK, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
8. Cookies
We use cookies to keep you logged in, remember your preferences and analyse platform usage. You can manage cookie preferences through your browser settings or our cookie consent banner when you first visit the site.
9. Data Security
We use industry-standard security measures including encryption in transit (TLS), encrypted password storage, and access controls. However, no system is entirely risk-free, and we encourage you to use a strong, unique password for your account.
10. International Transfers
If we transfer your data outside the UK or EEA, we will ensure appropriate safeguards are in place, such as Standard Contractual Clauses, in line with UK GDPR requirements.
11. KARTR Academy and Live Video Sessions
KARTR Academy sessions take place over live video call between a driver and a coach. KARTR does not record or store video or audio from these sessions. Coaches may take their own private notes for coaching purposes, which are not accessible to KARTR.
Where a driver is under the age of 18, a parent or guardian must be present and visible on the video call for the duration of the session. Coaches are entitled to refuse to start, or to end, a session where this requirement is not met. This requirement exists for the safety of minor users and is non-negotiable.
12. KARTR Social
KARTR Social is a community forum where members can post, comment and discuss topics related to grassroots karting. Posts and comments are public by default and form part of the shared community record, similar to a public forum or notice board.
We may share or repurpose content posted in KARTR Social on KARTR's own external marketing channels, including third-party social media platforms such as Instagram or LinkedIn. Where we do this, your KARTR display name will always be shown alongside the content, though we do not guarantee matching attribution, formatting or context to the original post, and content may be cropped, edited or adapted for the channel it is shared on. We do not share your private account details, such as your email address or payment information, as part of this.
We reserve the right to moderate, remove or restrict any content posted in KARTR Social that we consider to violate our Terms of Use, including content that is abusive, discriminatory, defamatory, spam, or otherwise inappropriate.
We are not responsible for the accuracy or opinions expressed in content posted by members in KARTR Social, though we will act on reports of content that breaches our Terms of Use.
13. KARTR Donations
KARTR Donations allow supporters to make a one-off contribution to a driver. We collect the donor's name, email address, payment details and the donation amount in order to process the donation via Stripe and issue confirmation to the donor.
We collect the recipient driver's payout account details in order to pay out donations owed to them, minus KARTR's platform fee. Where the recipient driver is under the age of 18, we will collect payout details from, or require confirmation from, the driver's parent or guardian rather than the driver directly.
If a driver, or their parent or guardian, does not respond within 30 days of a donation being made, or if the donor's stated recipient does not match the driver's registered profile, the donation will be refunded in full to the donor and the associated payout request will not proceed.
We do not share a donor's payment or contact details with the recipient driver. We share only the donor's name, so the driver can identify who has supported them.
14. Children
KARTR is not intended for use by anyone under the age of 13, and we do not permit accounts, of any kind, for children under 13. If a driver is aged 13 to 17, a parent or guardian must provide consent before creating an account, and is responsible for supervising the account, including reviewing all content, such as KARTR Social posts, before it is posted. We do not knowingly collect data from children under 13.
Where a driver under 18 books a KARTR Academy session, we collect parent or guardian contact details in addition to the driver's own information, in order to confirm chaperone arrangements as set out in section 11.
Where a driver under 18 receives a KARTR Donation, we will contact the parent or guardian associated with the driver's account to obtain or confirm payout details, as set out in section 13.
15. Minors and Public Profiles
Where a driver aged 13 to 17 registers on KARTR with parental or guardian consent, their profile may be publicly visible in the same way as an adult driver's profile. Parents and guardians who consent to a minor's registration accept that the minor's profile information, which may include their name, photo, racing history, and other details they choose to provide, will be publicly accessible and potentially indexed by search engines. This also applies to any content posted in KARTR Social, and to any KARTR Social content shared externally under section 12.
We encourage parents and guardians to review the information included on a minor's profile, and any content posted in KARTR Social, before it is made public. Profile visibility can be restricted or the profile removed at any time by contacting us at contact@joinkartr.com.
We do not knowingly display sensitive personal data relating to minors beyond what the driver or their parent or guardian has chosen to include on their profile or post in KARTR Social.
16. Changes to This Policy
We may update this policy from time to time. If we make significant changes, we will notify you by email or via a prominent notice on the platform. Continued use of KARTR after changes take effect constitutes acceptance of the updated policy.
