PRIVACY POLICY

1. Who We Are

KARTR ("we", "us", "our") is the hub for grassroots karting, connecting amateur and beginner/intermediate racing drivers with sponsorship opportunities, member discounts, coaching, and community tools. We are committed to protecting your personal data and being transparent about how we use it.

2. What Data We Collect

For Drivers/Racers:

  • Name, age, contact details and location

  • Racing history, categories, experience level and results

  • Social media handles and follower/engagement data

  • Photos, videos and media you upload

  • Sponsorship preferences and goals

  • Payment/billing information

  • KARTR Deals activity (which deals you view or redeem)

  • KARTR Academy booking and session activity, and parent/guardian contact details where the driver is under 18

For Brands/Sponsors:

  • Company name, contact details and registered address

  • Billing and payment information

  • Sponsorship budget ranges and preferences

  • Campaign activity and messaging history

For KARTR Deals Partners:

  • Company name and contact details

  • Discount/offer terms and redemption activity associated with the partnership

For KARTR Academy Coaches:

  • Name, contact details and verification documentation (such as Motorsport UK credentials)

  • Coaching availability, session bookings and payout details

  • Commission and payment records

For Donors:

  • Payment information processed via Stripe in connection with driver donations

  • The driver name entered at the point of donation

  • Transaction records retained for legal and financial compliance purposes

Donors are not required to hold a KARTR account. Payment data is processed directly by Stripe and is subject to Stripe's own privacy policy. KARTR retains a record of the transaction for compliance purposes in line with section 6 of this policy.

For all users:

  • Account login credentials (email and encrypted password)

  • Device and browser information

  • Usage data (pages visited, time on platform, clicks)

  • Communications sent through our platform

3. How We Use Your Data

We use your data to:

  • Create and manage your KARTR account

  • Match drivers with relevant sponsorship opportunities

  • Facilitate communication between drivers and brands

  • Operate KARTR Deals, including verifying eligibility and tracking redemptions with partner brands

  • Operate KARTR Academy, including managing bookings, facilitating live coaching sessions, and processing coach payouts

  • Administer Paddock Pass membership and the KARTR Fund

  • Process payments and transactions

  • Send platform notifications and updates

  • Improve our platform through analytics

  • Comply with legal obligations

  • Prevent fraud and ensure platform security

We will only contact you for marketing purposes if you have opted in, and you can unsubscribe at any time.

 

4. Legal Basis for Processing (UK/EU Users)

We process your data under the following lawful bases under UK GDPR:

  • Contract: Processing necessary to provide our services, including Deals, Academy and Paddock Pass

  • Legitimate interests: Improving the platform, preventing fraud, analytics

  • Consent: Marketing communications, optional data sharing, and parental consent for users aged 13 to 17

  • Legal obligation: Compliance with applicable law

5. Who We Share Your Data With

We do not sell your personal data. We may share it with:

  • Other users and the public: Driver profiles are publicly visible to any visitor to the KARTR platform, including those without an account, and may be indexed by search engines. This is core to the operation of the platform.

  • KARTR Deals partners: If you redeem a discount or offer, the partner brand may receive confirmation of redemption to honour the deal. Partners do not receive your full KARTR profile.

  • KARTR Academy coaches: If you book a coaching session, the coach receives the booking details and contact information needed to deliver the session.

  • Payment processors: Such as Stripe, to handle transactions securely

  • Email marketing providers: Such as Constant Contact, to send platform updates and communications you have opted into

  • Analytics providers: Such as Google Analytics, to understand platform usage

  • Cloud/hosting providers: Who store data on our behalf under strict data processing agreements

  • Legal authorities: Where required by law or to protect our rights

All third parties are contractually required to protect your data and use it only for specified purposes.

6. How Long We Keep Your Data

We retain your data for as long as your account is active. If you close your account, we will delete or anonymise your personal data within 90 days, except where we are required to retain it for legal or financial compliance reasons (typically up to 7 years for transaction records).

7. Your Rights

Depending on your location, you have the right to:

  • Access the personal data we hold about you

  • Correct inaccurate or incomplete data

  • Delete your data ("right to be forgotten")

  • Restrict or object to processing

  • Data portability: receive your data in a machine-readable format

  • Withdraw consent at any time where consent is the basis for processing

To exercise any of these rights, email us at privacy@joinkartr.com. We will respond within 30 days.

If you are based in the UK, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

8. Cookies

We use cookies to keep you logged in, remember your preferences and analyse platform usage. You can manage cookie preferences through your browser settings or our cookie consent banner when you first visit the site.

9. Data Security

We use industry-standard security measures including encryption in transit (TLS), encrypted password storage, and access controls. However, no system is entirely risk-free, and we encourage you to use a strong, unique password for your account.

10. International Transfers

If we transfer your data outside the UK or EEA, we will ensure appropriate safeguards are in place, such as Standard Contractual Clauses, in line with UK GDPR requirements.

11. KARTR Academy and Live Video Sessions

KARTR Academy sessions take place over live video call between a driver and a coach. KARTR does not record or store video or audio from these sessions. Coaches may take their own private notes for coaching purposes, which are not accessible to KARTR.

Where a driver is under the age of 18, a parent or guardian must be present and visible on the video call for the duration of the session. Coaches are entitled to refuse to start, or to end, a session where this requirement is not met. This requirement exists for the safety of minor users and is non-negotiable.

12. Children

KARTR is not intended for users under the age of 13. If a driver is aged 13 to 17, a parent or guardian must provide consent before creating an account. We do not knowingly collect data from children under 13 without verifiable parental consent.

Where a driver under 18 books a KARTR Academy session, we collect parent or guardian contact details in addition to the driver's own information, in order to confirm chaperone arrangements as set out in section 11.

 

13. Minors and Public Profiles

Where a driver aged 13 to 17 registers on KARTR with parental or guardian consent, their profile may be publicly visible in the same way as an adult driver's profile. Parents and guardians who consent to a minor's registration accept that the minor's profile information, which may include their name, photo, racing history, and other details they choose to provide, will be publicly accessible and potentially indexed by search engines.

We encourage parents and guardians to review the information included on a minor's profile before it is made public. Profile visibility can be restricted or the profile removed at any time by contacting us at contact@joinkartr.com.

We do not knowingly display sensitive personal data relating to minors beyond what the driver or their parent or guardian has chosen to include on their profile.

14. Changes to This Policy

We may update this policy from time to time. If we make significant changes, we will notify you by email or via a prominent notice on the platform. Continued use of KARTR after changes take effect constitutes acceptance of the updated policy.
